Connecting your GanttPRO account to Google Drive provides a possibility to attach files directly from Google Drive or create new ones straight from the Task settings in GanttPRO.
Connect GanttPRO account to Google Drive
To be able to add and create files from Google Drive in your GanttPRO account, you have to grant access to your Google Drive. Thus, the first time you add or create files that way, you will be required to log in to your Google account.
To attach a file to a particular task from Google Drive:
1. Open Task settings.
There are many ways to do that: by clicking on a corresponding icon 1 to the right of the task name; by clicking on a three dots icon right to the task name 2 or by right-clicking on the task name and then choosing Task settings 3.
You can also open Task settings by double-clicking on a task bar on a Gantt chart or in the Workload tabs or window, or by clicking on a task in the My tasks tab.
2. Click on Attach files 1, Attach from Google Drive 2 and then select Choose file 3.
Note that if the task already has files attached, you can do the same from the Task attachments section. Just click on the + icon there 1 and select Attach from Google Drive 2 and Choose file 3.
If you have not connected GanttPRO and Google Drive yet, you will be required to log in to your Google account.
Select an account. In the next window, tick the box 1 to grant access to Google drive files and click on Continue 2.
After that, you will see a window where you can select a file from your Google Drive 1 or upload it to Google Drive 2 and add it as an attachment to a task in GanttPRO.
All the selected files are added in the Task attachment section. Users who have access to the task will be able to see the file. However, access to the attached Google Drive file must be configured in Google.
Note that attachments from cloud storage services remain in the cloud storage account and do not take up space in GanttPRO.
Create Google Drive files from GanttPRO
With GanttPRO and Google Drive integration you can also create Google Drive files (namely, Documents, Spreadsheets, Drawings and Presentations) straight from Task settings in GanttPRO.
Once you connect the two accounts, click on Add attachments or Task attachments sections in the Task settings. After that:
1. Click on Attach from Google Drive 1, and select a type of file you want to create in the list under Create new 2.
2. Click on Continue editing the file in an emerging window.
The file will open in a new window where you can keep working on it.
Files created in the attachments in the way described above are automatically named as the task they are attached to and stored in the Root Directory on your Google Drive. This can be changed at any time.
Everyone who has access to the task will be able to view and edit such files according to the permission granted in Google Workspace for this particular file.
Change Google account or root folder
You can change the connected Google account anytime. For that:
- Open Task settings and click on Add attachments or Task attachments sections (if you have any attachments to the task).
- Click on Add from Google Drive.
- Click on Change account 1.
- Choose an account you want to connect to, and log in.
This account will be used as a default one to work with attachments from Google Drive.
It is also possible to select the Google Drive folder that will be used as a default option to select files attached to tasks in GanttPRO or save newly created Google files from GanttPRO.
For that, select Change default folder root 2.
Disable the integration with Google Drive
To remove access to your Google drive from GanttPRO, follow these steps:
1 Open the Google homepage in your web browser and click on your profile picture or initial at the top right corner of the page.
2 Select Manage your Google Account.
3 Click on the Security tab on the left-hand panel.
4 Then, scroll down to the Your connections to third-party apps and services section.
5 Click on GanttPRO, if you see the icon. If not, click on See all connections 6 to view all the apps and services connected to your Google Account and choose GanttPRO there.
7 Click on See details under the section indicating that GanttPRO has access to your Google Account.
8 In the emerging window, click on Remove access.
9 Review the details, and click on Confirm in the confirmation window.
