GanttPRO offers 5 types of Progress reports to help you track and analyze project performance over time:
These reports offer valuable insights into milestones, project statuses, schedule deviations, and overall progress trends, which are essential for monitoring project health.
To create Milestone timeline, Projects by status, or Project list reports:
1 Go to the Progress tab in the Reports section.
2 Click on the specific report type you want to create, or hover over it and click the Create button.
Next, select one or more projects 1, or choose a project portfolio 2 to visualize progress for.
Click Create 3 to generate the report.
For the Schedule variance and Progress S-Curve reports, you will also have to choose a calculation mode. You can find more details about each mode in the sections below.
Now, let’s take a closer look at each report type.
Milestone timeline report
The Milestone timeline report provides a clear, high-level view of key project milestones across time. This makes it easier to track progress and ensure that all deadlines are met.
Milestones are visualized on a yearly timeline, broken down by month. You can see the name of the milestone and the projects, their date, and current status.
Once the report is generated, you can also:
1 Use filters to change which projects are displayed.
2 Export the chart as a PDF.
Project by status report
The Projects by status report gives you a quick visual overview of the current statuses of all selected projects. Displayed as a pie chart, it shows:
1 The percentage and number (if you hover over it) of projects for each status. This includes projects with no status, default statuses (e.g., on track, at risk), and any custom statuses you’ve defined.
2 The total number of projects included in the report.
Once the report is generated, you can also:
3 Use filters to change which projects are displayed.
4 Export the chart as a PDF.
Project list report
The Project list report displays a table with key details for each selected project, giving you a concise overview in one place. The table includes project’s:
1 Name
2 Status
3 Progress
4 Start and End dates
5 Owner
Apart from that, you can:
6 Hover over the progress bar to see overall task statuses.
7 Sort projects in descending or ascending order.
8 Use filters to view other projects or narrow results by owner or status.
9 Export the table in XLSX format.
Schedule variance report
The Schedule variance report helps you understand whether your project is on schedule, behind, or ahead of it.
💡 How to interpret the data in this report?
- A negative variance → the project is behind schedule.
- A positive variance → the project is ahead of schedule.
While creating the report, you can choose from three calculation modes, depending on how you want to compare progress:
- Actual to planned
This mode compares the current progress of a project with the planned progress as of today’s date.
It shows how far ahead or behind the project is compared to where it should be based on the original plan.
You can do it for one project:
Or, for several projects/portfolio:
Check here how the variance is calculated.
- Actual to baseline
This mode compares the project’s current actual progress with the expected progress by today, according to a particular project baseline.
It shows how far ahead or behind the project is compared to what was planned as the baseline at this point in time.
This mode is available for one project only:
- Planned to baseline
This mode compares the planned percentage of completion for today’s date with the percentage of completion that was expected by this date according to a particular project baseline.
In other words, it shows the deviation of planned progress from the baseline you’ve saved at some point.
This mode is available for one project only:
Note that you can also:
- Use filters to change which projects are displayed.
- Export the graph as a PDF.
Progress S-curve
The Progress S-Curve report visualizes cumulative project progress month by month, and helps you assess whether the progress over time.
- The X-axis shows a timeline broken down by months
- The Y-axis shows cumulative progress as a percentage
This report is available for one project only.
When generating the report, you can choose from three comparison modes based on how you want to evaluate progress:
- Actual to planned
Compares the actual progress achieved each month to the planned progress that was expected by that time. For each month, you’ll see:
1 The percentage that was scheduled to be completed by the end of each month according to the original plan.
2 The percentage actually completed by the end of each month.
3 The difference between planned and actual progress for each month, shown as variance.
- Actual to baseline
Compares the actual progress achieved each month to what was expected according to the project’s baseline. You’ll see:
1 The percentage of total work that should have been completed by the end of each month according to the baseline plan.
2 The percentage of work actually completed by the end of each month.
3 The difference between actual and baseline progress values for each month, shown as variance.
- Planned to baseline
Compares the planned cumulative progress for each month with the cumulative progress expected in the baseline. You’ll see:
1 The progress percentage that was scheduled to be completed by the end of each month according to the original plan.
2 The progress percentage that was supposed to be completed by the end of each month according to the baseline plan.
3The difference between planned and baseline progress values for each month, shown as variance.
