GanttPRO offers 3 types of Time on tasks reports to help you track and analyze time within the project:
These reports provide valuable insights to help you optimize time allocation and identify inefficiencies.
To create them:
1 Go to the Time on tasks tab in the Reports section.
2 Click on the specific report type you want to create, or hover over it and click the Create button.
Then:
1 Choose a calculation mode for Time on tasks analysis by project or Time on tasks S-Curve reports (read more about this mode in the corresponding sections below).
2 Select one or more projects to create a report for, or choose a specific project portfolio.
3 Click Create to generate the report.
Time on tasks analysis by project report
The Time on tasks analysis by project report helps you track:
- The total estimated time for completing all tasks in a project
- The total actual time spent
- The difference between planned and actual time
When generating the report, you can choose from three calculation modes:
- Actual to planned
Compares the total time logged in the project (from the Time log field or section) with the total estimated hours (from the Estimation field) and shows the difference as variance.
A positive variance means time has been saved. A negative variance indicates overuse of work hours.
If you're generating the report for a single project, you'll see data for the current month by default. Go to Filters 1, to choose other projects 2, or change the date range 3.
If you select multiple projects or a portfolio, you’ll see separate charts for each one:
- Actual to baseline
Compares the total time logged in the project (from the Time log field or section) with the total estimated hours in a particular project baseline (from the Estimation field saved as baseline), and shows the difference as variance.
This mode is available for one project only:
- Planned to baseline
Compares the total estimated hours (from the current Estimation field) with the total estimated hours in a particular project baseline (from the Estimation field saved as baseline), and shows the difference as variance.
This mode is available for one project only:
Time on tasks S-curve
The Time on Tasks S-Curve report helps you visualize the dynamics of planned vs. actual hours over time.
It combines two types of visualizations:
- Lines (curves) - show cumulative monthly values, helping you track how Estimated, Actual (Time Log), and Baseline hours accumulate over time
- Bars (columns) - show non-cumulative values, comparing Estimated hours with Time Log (or Baseline) within each time interval.
This report is available for one project only.
💡 How to interpret the data in this report?
- If the Time log hours exceed the Estimation → the project is over time.
- If it’s lower → the project is under time.
When generating the report, you can choose from three calculation modes:
- Actual to planned
Compares actual time logged with estimations, month by month.
For each month, you'll see:
1 Time estimated for the month (the total from the Estimation field for that month).
2 Time actually logged that month (the total from the Time log).
3 The difference between the Estimation and Time log, shown as variance.
The cumulative values will reflect totals from the start of the project up to the current month:
4 The cumulative sum of all the estimated hours from project start to the current date.
5 The cumulative sum of all time logged actual costs from project start to the current date.
6 The cumulative difference between the cumulative estimated hours and the cumulative logged time, shown as variance.
❗️Note that a default date range filter is applied. To change it, go to Filters 7 and either select a new date range 8 or clear the filter entirely.
- Actual to baseline
Compares actual monthly spending with the baseline budget, with calculations done per month.
For each month, you'll see:
1 Time estimated for the month in baseline (the total from the Estimation field saved as baseline).
2 Time actually logged that month (the total from the Time log).
3 The difference between the time estimated in baseline and the time actually logged, shown as variance.
The cumulative values will reflect totals from the start of the project up to the current month:
4 The cumulative sum of all estimated hours from a particular project baseline from project start to the current date.
5 The cumulative sum of all time logged.
6 The difference between the cumulative estimated hours from a particular project baseline and the cumulative time logged, shown as variance.
- Planned to baseline
Compares the current planned budget with the baseline budget, with calculations done per month.
For each month, you'll see:
1 Time estimated for the month in baseline (the total from the Estimation field saved as baseline).
2 Time estimated for the month (the total from the Estimation field for that month).
3 The difference between baseline time estimation and time estimated for the month in a current plan, shown as variance.
The cumulative values reflect totals from the start of the project up to the current month:
4 The cumulative sum of all baseline estimated hours from project start to the current date.
5 The cumulative sum of all estimated hours in a current plan from project start to the current date.
6 The difference between cumulative baseline estimated hours and cumulative Time estimated hours from the current plan, shown as variance.
Time log report
A time log report provides you with information about the time spent on tasks by each team member. This data can be used, among other things, to keep the stakeholders informed or to calculate the corresponding fees and payments.
A time log report tab indicates the total time spent on tasks in the current month 1 (you can clear this default time range in filters) and contains:
- Task name and task details that are available if you hover over the info icon
- Project name with task directory
- User name
- Time log date
- Logged time
- Comments
For a better view and comprehension, data can be grouped 2 based on those fields and sorted out in ascending and descending order 3 by clicking on the corresponding field.
Time log date, Logged time, and Comments can be edited in the Reports tab by clicking on the corresponding cells 4.
To single out particular data for the report, you can configure and save Filters 5, and apply them while creating a report.
It is possible to filter by:
- task
- project
- user
- date
- time range
- comment
