A shared private link gives access to any person who gets it to view the project's Gantt chart together with the details that you want to share.
It can be useful in different situations:
- when negotiating a project with your customer at any stage of its lifecycle (presale, development, launch);
- for making presentations for any stakeholder;
- for placing your link online (for example, on your website to show your plans for the next year).
This option is available to certain user roles in the GanttPRO account: Account Owner, Account Admins and Enterprise users with a Custom role and corresponding permission.
How to share a link to projects or portfolios
Click on the three-dots button 1 in the top right corner of the page and choose Share link 2.
After that, you can click straight away on Create link 1. This will generate a default link without any description that will display the current state of the project.
However, you can configure a set of options for the link:
- Add description
- Apply filter
- Set password
- Choose between a static or dynamic picture
2 Description
It is possible to name the link or add any necessary description. Otherwise, it will be named after the date of its creation.
3 Filters
It is possible to select which parts of the project to share. To do this, go to Filters and select which data you want to share together with a Gantt chart. After that, save your filter and name it.
When sharing a project, you can choose Current filter to share a filtered version or Without filters to share the whole project.
Note: by default, a project will include all the enabled Standard and Custom fields. So, make sure to leave the fields that are relevant for stakeholders.
4 Password
You can also toggle Password to create a password for a shared link.
5 Snapshot
By default, you will share the dynamic state of a project. In this case, the person who gets the link will be able to see the current state of a plan and all the following changes as they are made.
If you need to share a static picture, i.e. a snapshot of the current state of a plan taken at the moment you’ve created that link, tick the Snapshot box. The person who gets the link will be able to only see the current state of a plan without any following changes.
All the links you create get into the list. There, you can:
6 Copy a link by clicking on a corresponding icon and pasting it wherever needed to share.
7 Disable a link by switching off the Status toggle, or enable it by switching the toggle on.
8 Delete a link by clicking on a corresponding delete icon.
